What is Project Management?

Project Management is the process of planning, organizing, coordinating, and overseeing property improvement projects from start to finish.

The goal is simple: reduce stress, improve communication, avoid delays, and achieve better outcomes — for both the property and the owner.

Our Methodology

The Luma Project Management Process

A clear, repeatable framework designed to keep your project on scope, on schedule, and on your side.

  1. 01

    Define Goals

Understand the owner's objectives, priorities, budget, and timeline.

  2. 02

    Develop the Plan

Create scope, budget expectations, schedules, and project strategy.

  3. 03

    Assemble the Team

Identify and coordinate contractors, vendors, specialists, and resources.

  4. 04

    Manage Execution

Oversee progress, communication, scheduling, and quality throughout the project.

  5. 05

    Verify Completion

Review completed work, address outstanding items, and ensure project goals have been met.

"

We help owners make informed decisions, ask the right questions, coordinate the right people, and maintain accountability throughout the project.

On a construction site, almost everyone is paid by the work. Luma isn't. As your owner's representative, our only loyalty is to you and the outcome of your project. That changes how decisions get made — and who they get made for.

Value

How we add value.

Clear Planning

Defined scope, goals, and expectations before work begins.

Budget Awareness

Realistic budgets and disciplined change-order management.

Vendor Coordination

Vetted trades, organized scheduling, fewer surprises.

Schedule Management

Sequenced milestones so projects don't quietly drift.

Quality Oversight

Site visits and punch lists that catch issues early.

Risk Reduction

Anticipating problems before they become disputes.

Improved Communication

One organized point of contact, not a group chat.

Single Point of Accountability

Someone responsible for the whole project — by design.

Risk Reduction

Avoid common project mistakes.

Most failed projects fail in predictable ways. Professional project management exists to interrupt those patterns before they cost you money, time, or trust.

  • Hiring based only on price

The lowest bid often becomes the highest final cost.

  • Unclear project scope

Vague scopes lead to change orders, disputes, and surprises.

  • Budget overruns

Without discipline, small additions quietly compound.

  • Poor communication

Misalignment between owner, trades, and timeline.

  • Missed deadlines

Sequencing problems that nobody catches until it's too late.

  • Incomplete work

Punch-list items that drag on for months.

  • Lack of accountability

Nobody owning the whole project — only the pieces.

In Practice

Project management in action.

Representative examples of projects Luma has guided across Greater Cleveland.

Shaker Heights

Coordinating multiple improvements before move-in.

Challenge
A new homeowner needed floors, paint, a kitchen refresh, and electrical work completed in six weeks — across four different trades.
Approach
Luma defined a unified scope, sequenced the trades, set a shared schedule, and managed every site visit and approval.
Outcome
All work was completed two days before move-in, on budget, with a clean punch list. The owner never had to coordinate a contractor directly.
Beachwood

Strategic updates before listing.

Challenge
An owner planning to list in 60 days needed targeted improvements without overspending on the wrong work.
Approach
We built a prioritized scope based on buyer expectations, then managed paint, light fixtures, two small repairs, and exterior touch-ups end to end.
Outcome
The property listed on schedule, photographed well, and received multiple offers — with the owner avoiding tens of thousands in unnecessary improvements.
Cleveland Heights

Investor turnover between tenants.

Challenge
A landlord faced a tight two-week window to refresh a unit between tenants while managing repairs from a long-term lease.
Approach
Luma walked the unit, scoped the work, coordinated three trades in parallel, and handled all owner communication remotely.
Outcome
The unit was re-leased without a vacancy gap, deferred items were addressed, and the owner had documentation for tax and insurance purposes.

FAQ

Common questions.

What types of projects do you manage?+

Home renovations, kitchen and bath updates, interior refreshes, exterior improvements, repair lists, rental turnovers, capital improvements, pre-sale projects, and small commercial property improvements.

Do I have to use your in-house improvement team?+

No. Our in-house team is one option when it's the right fit, but we frequently coordinate outside trades on behalf of owners. Our job is to get you the right outcome, not to keep our crew busy.

Can you work with contractors I already know?+

Yes. If you have trades you trust, we'll happily coordinate them. We can also vet and add new vendors when a project calls for specialties we haven't worked with before.

How involved will I need to be?+

As involved as you'd like. Many owners prefer a weekly check-in and approvals only on key decisions. Others want more visibility. We adapt to your style.

Can you help create a project budget?+

Yes. Budget planning is part of how we scope every project — including realistic ranges, contingencies, and disciplined change-order management.

Can you manage projects remotely for out-of-state owners?+

Yes. We regularly manage projects for out-of-state owners with documented site visits, photo updates, and clear written communication.

Do you manage commercial projects?+

Yes — for small commercial and mixed-use buildings. We do not take on large-scale commercial construction.

How do I get started?+

Schedule a complimentary consultation. We'll learn about your project, your goals, and recommend a sensible next step.
